PRIVACY STATEMENT

Chattertots take your privacy very seriously. This policy explains how we collect, handle, share, disclose or otherwise process the personal information we hold about you. You have the option to control how we use your data and how you can access the information we hold on you. 

 

What we need


Chattertots will be what is known as the “Controller” of the personal data you provide to us. Chattertots registered charity number is 1198362 Crossways, School Hill, Wargrave, RG10 8DY. Unless otherwise agreed with you, we will only collect basic personal data about you and your child, which does not include any categories of personal information about you (often known as sensitive
personal data). This information includes your name, telephone number, the area in which you live and email address. Chattertots will also require data about your child's name, gender, date of birth and expected date of starting school, should you require our services. We may also ask for relevant health information about your child, which is classed as special category personal data, for the purposes of your child’s health, well-being, welfare and safeguarding. Where we hold this data, it will be with the explicit consent of the participant’s parent or guardian. This data is collected when you complete forms at an event or online, or by corresponding with us.

 

Why we need it


We need to know basic personal data in order to provide you with the services you have engaged us to provide. If you do not provide this information, then we will be unable to provide the services. We will not collect any personal data that we do not need in order to provide the services.

 

What we do with it


All the personal data we hold about you will only be processed/seen by the committee members and third parties we are working with to deliver products and services to you. We take all reasonable care to ensure that your personal data is processed and stored securely. More information is available from the Chattertots Trustees.

Chattertots may send you information about Chattertots services, information and events, by email, phone, social media and messages (Whats App, SMS) where you have consented for us to do so. Your data may also be shared, and you may be contacted by a third-party organization such as Symbol and Hazel England who will make this contact with you only for the purposes of delivering products and services from Chattertots. Third-party service providers will only process your personal data for specified purposes and in accordance with our instructions. We may disclose your personal information to third parties to comply with a legal obligation; or to protect the rights, property, or safety of our participants, members or affiliates, or others. We may use your information where there is a legitimate interest to do so; we will only do this where it is fair and lawful to do so and in accordance with your privacy rights. Chattertots data processing does not require your personal data to be transferred outside of the UK.

 

How long we keep it


We keep personal data on our participants and members while they receive services or are otherwise actively involved with Chattertots and may continue to talk to them about products and services we believe to be of interest until 3 years after receiving the last service. We will destroy this data 5 years after a participant or member has left or ended their membership, or affiliation, or sooner if specifically requested and we are able to do so. We may need to retain some personal data for longer for legal or regulatory purposes.

 

Your rights regarding your personal data

As a data subject you have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.
